Job Summary

We are seeking a Temporary Business Services Coordinator professional to assist Financial Planning Analysts and support project and financial workflows within Deltek Vantagepoint. This role is focused on administrative coordination, data accuracy, and operational support across projects, including accounts payable, vendor management, and proposal coordination. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities in a fast-paced professional services environment.

The position is located in Ontario, California. This position is eligible for hybrid (office/remote) working arrangement and flexible working hours; requires 3 days in the office and the ability to work from home Mondays and Fridays.

This is a temporary full-time position.

Responsibilities

  • Enter and maintain project and financial data in Deltek Vantagepoint, including project setup, planning data, and contract amendments.
  • Review, code, and enter consultant and vendor invoices; support accounts payable and billing-related activities.
  • Assist in vendor setup and maintain accurate vendor records.
  • Monitor shared inboxes, route requests, and follow up as needed.
  • Support proposal preparation and review submissions for completeness and accuracy.
  • Provide general administrative support to ensure workflow continuity across teams

Requirements

  • 1–3 years of experience in administrative support, project coordination, or accounting support.
  • Experience in a professional services, AEC, consulting, or construction environment preferred.
  • Familiarity with ERP or project management systems (e.g., Deltek Vantagepoint preferred).
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams).
  • Strong data entry accuracy, attention to detail, and ability to process invoices and maintain records.
  • Strong communication, organizational, time management, and problem-solving skills with the ability to manage multiple priorities.

The salary range for this position is $23.56 - $33.01/hourly ($49,006 - $68,664 annually).

The actual offered salary for this position will vary depending on multiple factors including the candidate’s qualification, education, position knowledge, work experience, skills, ability, work location, and internal incumbent compensation for similar roles. We do not anticipate individuals hired into this position will start at or near the top half of the range listed; the decision will be based on each individual case. The salary range listed above does not include other compensation elements such as discretionary bonus opportunities, employee stock ownership grants, paid time off, medical insurance, and other wage and benefit opportunities.
