Job Summary

The CRM Data Coordinator is a key player in powering the work of our Marketing, Finance, Practice, and IT teams by keeping our CRM data accurate, organized, and running smoothly. In this role, you’ll dive into the details—entering, updating, and managing information tied to our projects, employees, clients, and pursuits. This position is located in HMC’s Ontario, California office. The position requires 3 days in the office and the ability to work from home Mondays and Fridays.

Responsibilities

  • Enter, update, and maintain CRM records for projects, pursuits, clients, partners, and employees.
  • Ensure accuracy and completeness of data by reviewing records with project and marketing teams.
  • Maintain consistent formatting, naming conventions, and supporting documentation in the CRM.
  • Track and resolve missing or incomplete data by coordinating with internal team members.
  • Assist with routine data audits, cleanup initiatives, and ongoing data quality improvements.
  • Run standard CRM reports and prepare data for Marketing and Business Development review.
  • Support recurring reporting schedules and updates.
  • Follow established CRM standards, workflows, and procedures; help document processes as needed.
  • Respond to routine CRM data requests and inquiries.
  • Collaborate with cross-functional teams to gather project and pursuit information.
  • Participate in CRM and process-related training.

Requirements

  • 0–2 years of experience in data entry, administrative support, marketing coordination, or a related role.
  • Strong attention to detail and accuracy when working with structured data.
  • Proficiency with Microsoft 365 (Excel, Word, Outlook, Teams).
  • Ability to follow defined processes and manage repetitive tasks efficiently.
  • Strong organizational, time management, and communication skills.
  • Exposure to CRM systems (Deltek or similar) preferred.
  • Experience in professional services (AEC, consulting, etc.) preferred.
  • Interest in marketing operations, business development, or data management preferred.
  • Detail-oriented, dependable, and able to work independently or collaboratively.
  • Willingness to learn new systems, processes, and best practices.

The salary range for this position is $49,006 to $66,698.

The actual salary offered for this position will vary depending on multiple factors including the candidate’s qualification, education, position knowledge, work experience, skills, ability, work location, and internal incumbent compensation for similar roles. We do not anticipate individuals hired into this position will start at or near the top half of the range listed; the decision will be based on each individual case. The salary range listed above does not include other compensation elements such as discretionary bonus opportunities, employee stock ownership grants, paid time off, medical insurance, and other wage and benefit opportunities.
